Introduction

The purpose of this communication plan is to define the communication methods and channels used for the [Skill Collector] project. This document holds information of all the communication tools and their use cases in the project.

Stakeholders

Project Stakeholders can be divided into four groups from the point of view of communication:

  1. Project group team members [Hautala Arttu, Kalaluka Taavi, Kosonen Lauri, Lappalainen Roope, Penttilä Jenna, Wirlander Juha]
  2. Project Owner [Rintamäki Marko]
  3. Product managers / Coaches [Hakala Veeti, Pekki Juho, Ciszek Heli]
  4. Stakeholder representatives [Frilander Hanna (LIPPA), Saharinen Karo (LIPPA), Silvennoinen Essi (LIPPA)]

This plan provides the basis for communication between the project team and other project stakeholders.

General Communications Channels

[Skill Collector] is using various forms of written and verbal communication: [Project teams website, Microsoft Teams, ZOOM, Outlook and Discord]

Written Communication Models

Project-related written communications use the document templates as described in the book 'Yrityksen viestintä' (Corporate Communications, Kortetniemi, 1997) / JAMK Jyväskylä University of Applied Sciences reporting guidelines / something else (what?). Digital document storage format is further defined in a specific documentation plan.

Internal Communications

Internal project communication uses both formal and informal channels. The project team meets weekly in [Microsoft Teams] on monday and tuesday to plan tasks of the coming week and to go through the events of the previous week.

Product Owner [Rintamäki Marko] hosts weekly ZOOM sessions where the project team or project teams team leader is made aware of new updates and deadlines regarding the project. Team leader [Hautala Arttu] writes notes of all significant upcoming events and shares them to the rest os the project team via [Microsoft Teams] or [Discord]. In addition, the following aids are used to support both internal and external communications:

-[Outlook] Is used as the primary email application and can be used to send private messages between the project team and the coaches. However Most private communication is done via [Microsoft Teams] or [Discord].

-Potential face to face meetings can also be arranged between project team members.

Communications with Coaches

The most important communication channel will be [Microsoft Teams] where the coaches have their own sub channels for communicating with different project members. [Hakala veeti] is responsible for running the [Support DEV] support channel, [Ciszek Heli] is responsible of running the [Support SEC] support channel, while [Pekki Juho] is responsible for running the [Support OPS] support channel.

Project team and the coaches can also communicate with eachother via [Outlook] as well as private messages on [Microsoft Teams]

Communications with Stakeholder Representatives

Communication between the project team and stakeholders goes through product owner [Rintamäki Marko] using various communication platforms such as [Microsoft Teams] and [Outlook]

[ZOOM and Teams] meetings play a key role in the communication between the project team and the stakeholder representatives. In addition [Outlook] can be used to share information between the product owner and stakeholders. For all project documents, assigned project secretary will send copies to the stakeholder representatives by email. [Rinatmäki Marko] is responsible for current affairs on behalf of the stakeholder.

Communications with External Stakeholders

Communication between the project team and external stakeholders goes through product owner [Rintamäki Marko] using various communication platforms such as [Microsoft Teams] and [Outlook]. In addition, external stakeholders are provided information on the project teams website.

Monitoring and Evaluation of Communications

The success of the communications are continuously evaluated during the project, especially during weekly coach meetings and as well as in communication studies. Any inconvenience will be addressed immediately and the communication plan modified if and / or necessary.
